The challenge
Rosewood's annual athletics meet had grown from 400 to over 1,100 children across four houses. Entries came in on paper slips collected by class teachers, results were written on a whiteboard, and certificates were typed the following week — usually with three or four names spelled wrong. The 2025 meet ran ninety minutes past schedule and two relay results were disputed.
What they did
- Moved entries to a single link shared on the school's parent WhatsApp broadcast, with age-group rules enforced automatically
- Issued QR passes to every child; class teachers scanned at the marshalling gate on their own phones
- Fed track timings and field distances straight from the ground into live house-wise standings on the pavilion screen
- Generated 1,140 certificates from the same result data before the closing ceremony ended
The result
The 2026 meet finished eleven minutes ahead of schedule. The committee logged 34 hours of admin work against 176 the previous year, and every certificate went out the same evening with a verification QR that parents could scan. Zero disputed results.

Krishna University: nine judging panels, 4,300 entries, no spreadsheet
The challenge
Spandan, the university's annual cultural fest, spans 40 sub-events over three days across seven venues in Hubballi. Judging was done on paper score sheets that a student volunteer typed into a laptop each night. In 2024 a tabulation error in the group dance final was spotted only after prizes had been handed out — and the fest committee spent a month rebuilding trust.
What they did
- Built weighted rubrics for all nine panels — technique, presentation, originality and time discipline — signed off by faculty before the fest opened
- Gave every judge a tablet login with only their own event visible, so panels could not see each other's marks until submission closed
- Locked scores with a timestamped audit trail; any correction needed the panel head's approval and left a visible record
- Published results to the fest's public page automatically as each event closed
The outcome
Result declaration fell from an average of 48 hours to 90 minutes. Not a single scoring dispute was raised across three days, and the committee reused the same rubric set for the 2026 edition with almost no changes. Registration revenue rose 38% because entries stayed open two weeks longer without adding admin load.

Nimbus Technologies: from a sports week nobody remembered to a league people plan their evenings around
The challenge
Nimbus, a 2,600-person product company with offices in Bengaluru, Pune, Hyderabad and Chennai, ran an annual sports week that drew roughly 300 employees — mostly the same 300. HR had no way to track who played what, badminton court bookings lived in a shared calendar, and the cricket results were argued about on Slack for a week afterwards.
What they did
- Replaced the one-week carnival with a year-round league: nine sports, four offices, fixtures published a month ahead
- Opened self-service team creation so employees formed their own squads instead of waiting for HR to assign them
- Sent Friday-morning WhatsApp fixture reminders — one message, two lines, a map link
- Put live standings on the office café screens, refreshed the moment a captain submitted a result
The outcome
Participation went from 312 to 1,904 employees in one season. HR's people-engagement survey score for "opportunities to connect across teams" rose 21 points, and the whole programme is administered by two people who spend about four hours a week on it.

Maharashtra Athletics: eleven district venues, one ranking table
The challenge
The state association qualifies athletes for nationals from district meets held across eleven venues, often on the same weekend. Timings arrived by WhatsApp photo of a handwritten sheet. Compiling a state ranking took the secretariat close to two weeks, and every year a handful of athletes were misplaced between age categories.
What they did
- Standardised entry so every athlete carries one state ID across districts, seasons and age groups
- Equipped each venue's chief timekeeper with offline score entry — results queue on the device and sync when the ground gets signal
- Automated age-category validation against the athlete's registered date of birth, flagging mismatches before the heat is run
- Generated the state ranking table and national selection shortlist directly from verified results
The outcome
Provisional rankings now publish within 90 seconds of the last result being confirmed. Selection lists that consumed a fortnight of secretariat time are ready the same evening, and the association has a clean four-season performance history for every registered athlete — something it simply did not have before.
