Eight modules · One event day

The whole competition lifecycle, under one login

Entry forms, fee collection, gate scanning, scores, judges, certificates, reports and reminders. Each module is useful on its own — together they replace the eleven tools most organising committees are currently duct-taping to a WhatsApp group.

Module 01 · Registrations

Entry forms that understand how Indian events actually work

A relay team of four, a solo chess player, a whole school entering 26 events, a band of nine with one contact number. One builder handles all of it — and the rules stop wrong entries before they reach your inbox.

  • Four entry modes out of the box: individual, team, institution-wide and open-to-public.
  • Conditional fields — ask for a coach's number only when the entry is a team, and for a birth certificate only in age-restricted categories.
  • Age-group and eligibility rules that auto-place a participant into U-14, U-17 or Open based on date of birth.
  • Document uploads with size limits: ID proof, medical fitness, school bonafide, consent letters for minors.
  • Automatic waitlists and capacity caps per sub-event, with promotion the moment someone withdraws.
  • Bulk import from an Excel sheet for schools that already have their list ready.

Module 02 · Payments & Refunds

Collect the fee, issue the receipt, close the book

No more treasurer reconciling a UPI screenshot folder against a Google Sheet at 11 p.m. Every rupee that arrives is attached to a participant record, a receipt and a settlement line.

  • UPI, RuPay, Visa, Mastercard, netbanking and wallets — plus a cash-at-counter mode marked by your volunteer.
  • Early-bird slabs, group discounts, coupon codes and per-category fees, all scheduled by date.
  • GST-compliant invoices with your institution's GSTIN, generated and emailed automatically.
  • One-click full or partial refunds straight from the participant record, with reason codes for your audit file.
  • Split payouts — send the venue's share to one account and the association's share to another.
  • T+2 settlement to your registered bank account with a downloadable reconciliation statement.

Module 03 · QR Check-in

Built for grounds where the network dies at 9 a.m.

Every confirmed participant gets a QR pass on WhatsApp the moment they pay. At the gate, any volunteer with a phone becomes a scanner — no hardware, no queue, no printed list going soggy in the rain.

  • Offline-first scanning: passes validate on-device and sync the moment the network returns.
  • Duplicate and re-entry detection, so one pass cannot walk two people through the gate.
  • Multiple gates and zones — main entry, athletes' area, VIP stand, each with its own volunteer roster.
  • Live turnout counter on the organiser dashboard, broken down by event, house and institution.
  • Spot registration at the counter for the parent who turns up on the day with cash.
  • Manual override with a reason note, recorded in the audit log against the volunteer's name.

Module 04 · Live Scoring

Scores from the field, on the big screen, in the same breath

Cricket runs ball-by-ball. Badminton runs in sets. Athletics runs on stopwatch timings and wind readings. Chess runs on Swiss pairings. Each sport gets a scoring screen that speaks its own language instead of a generic points box.

  • Sport-aware templates for cricket, football, athletics, badminton, kabaddi, chess, swimming and table tennis.
  • Bracket and fixture engine — knockout, round-robin, league-plus-playoff and Swiss, generated from the entry list.
  • Public leaderboard page and a full-screen display mode for the projector behind the stage.
  • Two-person verification on final results, so nothing goes public until a second official confirms.
  • Heat, lane and court allocation with clash detection when one athlete is entered in overlapping events.
  • Every edit stamped with who changed what and when, so a protest is settled from the log, not from memory.

Module 05 · Judges & Voting

Fair scoring you can defend in front of a hall full of parents

Cultural and creative categories are where disputes start. Give your panel a tablet with a clear rubric, hide the names when it matters, and let the platform apply the tiebreak rule you agreed on before the event — not after.

  • Weighted rubrics you define per category — technique 40%, presentation 30%, originality 20%, timing 10%.
  • Blind mode hides participant names and institutions from judges until scoring is locked.
  • Outlier flagging highlights a judge scoring far from the panel average, before it skews a result.
  • Configurable tiebreak ladder: highest technique score, then chief judge's call, then a re-performance.
  • Weighted public voting with device fingerprinting and OTP verification that resists bot inflation.
  • A locked audit trail with timestamps for every score, edit and override.

Module 06 · Certificates & Medals

Five thousand certificates before the crowd leaves the ground

Participation, merit, position, coach and volunteer certificates — designed once, generated in bulk, delivered on WhatsApp. Each one carries a QR that any college admissions officer can verify in two seconds.

  • Drag-and-drop template designer with your crest, sponsor strip and up to three signatories.
  • Bulk generation of 5,000+ personalised PDFs in minutes, pulled straight from the results table.
  • Unique verification QR and short code, backed by a public verification page.
  • Auto-delivery on WhatsApp and email the moment a result is published and confirmed.
  • Medal and trophy inventory — counts per category, engraving list and handover sign-off.
  • Reissue with a corrected spelling without invalidating the original verification record.

Module 07 · Analytics & Reporting

The numbers your principal, treasurer and sponsor all ask for

Three different people want three different reports the week after your event. Instead of rebuilding them from a spreadsheet, export the one they need — already formatted, already reconciled.

  • Registration funnel: page views, forms started, forms abandoned, payments completed — with the drop-off step named.
  • Revenue breakdown by category, age group, institution and discount code.
  • Turnout analysis comparing registered against actually checked-in, per event and per gate.
  • Sponsor report pack with reach, footfall, category-wise participation and branded cover page.
  • Year-on-year comparison once you have run two seasons on the platform.
  • Scheduled exports to email, Google Sheets or your ERP every morning during event week.

Module 08 · Notifications

Stop being the WhatsApp group's answering machine

Ninety per cent of an organiser's messages are the same six updates repeated to four hundred people. Set the journey once and the platform sends it — on WhatsApp, SMS or email, in the language the family reads.

  • Triggered journeys on registration, payment, fixture release, reporting time, result and certificate.
  • WhatsApp Business API templates, pre-approved, with your institution's verified sender name.
  • SMS fallback on DLT-registered headers when WhatsApp is undelivered after ten minutes.
  • Segmented broadcasts — message only the U-17 boys' football squads, or only unpaid entries.
  • Content in Hindi, Marathi, Tamil, Telugu, Kannada, Bengali, Gujarati and Malayalam alongside English.
  • Delivery and read receipts per message, so you know who genuinely did not get the venue change.

The honest comparison

SportzContest vs spreadsheets, forms and a WhatsApp group

The free stack works — until your event crosses about two hundred participants. Here is where it starts costing you evenings.

Feature comparison between SportzContest and a manual stack of spreadsheets, Google Forms and WhatsApp
What you need to do Spreadsheets + Forms + WhatsApp SportzContest
Collect entries with rules Free-text answers, wrong age groups, manual clean-up of 200 rows Conditional fields and auto age-group placement at source
Take the entry fee UPI screenshots in a folder, matched by hand against names Gateway payment attached to the participant record with a receipt
Issue GST invoices Accounts team types them one by one after the event Generated and emailed automatically at payment
Check people in at the gate Printed list, a pen and a queue that stops moving by 8:50 a.m. Offline QR scanning on any volunteer's phone, duplicates blocked
Update scores as they happen Runner carries a chit to the announcer; the sheet lags by an hour Live leaderboard on the projector and the public page in seconds
Settle a scoring dispute Whoever shouts loudest, or a WhatsApp screenshot from memory Timestamped audit trail of every score, edit and override
Send 5,000 certificates Mail-merge, print, sign, distribute over the next three weeks Bulk-generated with verification QR, on WhatsApp the same evening
Report to sponsors and management Someone rebuilds pivot tables from four different sheets One-click sponsor pack with reach, footfall and revenue splits

Security & compliance

You are holding data about children. We treat it that way.

Most of our customers are schools, and most of their participants are minors. That shaped how the platform stores, shares and deletes data — long before it was convenient to say so.

  • DPDP Act 2023 aligned — verifiable parental consent flows for participants under 18, with purpose-limited retention.
  • Indian data residency — primary and backup infrastructure in Mumbai and Hyderabad regions. Nothing leaves the country.
  • Encryption — TLS 1.3 in transit, AES-256 at rest, and field-level encryption on identity documents.
  • Role-based access — organiser, coordinator, scorer, judge, gate volunteer and read-only sponsor, each seeing only their slice.
  • Audit logs — every score change, refund, export and permission grant recorded and exportable for seven years.
  • Deletion on request — a participant or guardian can request erasure and it completes within 30 days.

Consent-first for minors

Guardian consent captured at entry and re-verified each season.

Organisers on the modules they actually live in

The refund button saved my entire term. Fourteen teams pulled out after the exam dates shifted and every parent had their money back the same week.

Blind judging changed the tone of our fest. Nobody could argue that a panel favoured a college, because the panel genuinely did not know.

Our CSR sponsor asked for footfall by district. It took me four clicks. Last year that request cost me two full days in Excel.
